HR and Admin Assistant

Outline of Responsibilities

We are looking for an organized, positive, and personable candidate to contribute to our team. The ideal candidate would need to adjust to a fast-paced work environment, including but not limited to the following tasks:

Administrative functions

  • Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations;
  • Schedule and confirm appointments and meetings of employer;
  • Order office supplies and maintain inventory;
  • Answer telephone and electronic enquiries and relay telephone calls and messages;
  • Set up and maintain manual and computerized information filing systems;
  • Implement office procedures;
  • Ascertain nature of business of visitors;
  • Arrange travel schedules and make reservations;
  • Compile data, statistics, and other information to support research activities; and
  • Organize conferences and company events
  • Keep track of payments and expenditures such as purchase orders, invoices, statements, etc. (in coordination with accounts team);
  • Verify expense reports of and preparing payments to employees;
  • Pay vendors by scheduling pay checks and ensuring payment is received for outstanding credit;

 

Human resources functions

  • Plan, implement, and evaluate employee relations and human resources policies, programs, and practices;
  • Maintain the work structure by updating job requirements and job descriptions for all positions;
  • Support organization staff by establishing a recruiting, testing, and interviewing program; counseling managers on candidate selection; conducting and analyzing exit interviews; and recommending changes;
  • Ensure planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees, scheduling management conferences with employees. hearing and resolving employee grievances, and counseling employees and supervisors;
  • Retain historical human resource records by designing a filing and retrieval system and keeping past and current records;
  • Manage human resource staff by recruiting, selecting, orienting, and training employees;
  • Contribute to team effort by accomplishing related results as needed; and
  • Facilitate the processing of government-mandated and company-initiated benefits and reports.

 

Technical Skills

  • Excellent understanding of and experience in Philippine labor laws
  • With 2-3 years of experience in human resources and administration
  • Good organizational skills and with attention to detail
  • Good written and verbal communication

 

Working Conditions

  • Location: Bonifacio Global City
  • Hybrid work arrangement
  • Salary: Negotiable based on candidate’s experience.
